General Vehicle Reservation Policies
Rental requests must be received no later than 7 days prior to the requested rental date via the vehicle registration form.
Use of the vehicles is from 6:00 a.m. to 11:30 p.m. Use of vehicles outside of those times must be approved by the Transportation Supervisor.
There may be black-out dates with no vehicle available for reservation. (e.g. prior to and after college breaks).
Requests must indicate the certified driver who will be responsible for picking up, driving, and dropping off the van.
One vehicle, per club or office, per request. An additional vehicle may be added within 3 business days before the reserved date, if available. Club/Org representative is responsible for checking on this availability with the Transportation Office.
In general, vehicles cannot be taken for more than 1 day (24 hours) nor overnight, unless permission is given by the Transportation Supervisor.
Vehicles cannot be driven more than 200 miles round trip unless approved by the Transportation Supervisor. Even if approved for special use and duration, vehicles are never to be driven after 11:30 pm and before 6:00 am on any series of days. Any trips exceeding 200 miles round trip will require that two certified drivers are in attendance and are prepared to share in driving.
Vehicles cannot be used to move any personal items or for personal errands or individual shuttling.
Vehicles must be parked in the
Van Parking
only area in front of Main Hall upon return. They cannot be parked at the residence halls or apartments.
When the request is for local use over multiple days, vehicles must be returned to Main Hall parking each night.
The borrowing organization is responsible for all tolls, fines, fees, or damage while using the van except for those incurred by the driver if negligence is shown.
The driver & organization will lose vehicle privileges after two no-shows or unverified cancellations. Cancellations must be received 24 hours prior to trip departures. There is no charge for canceling unneeded vans.
The driver is responsible for notifying Campus Safety immediately of any accidents or traffic violations that the van was involved in regardless of fault.
In compliance with New York State Law & Wells College policy, the use or possession of controlled substances and alcohol beverages is prohibited while using the vehicle. The certified driver is prohibited from using any substance, drug, or alcohol, that impairs driving prior to vehicle use.
There is no smoking allowed in the vehicle.
Weather Cancellation: Vehicle reservations may be canceled by the College up to time of departure if due to declining weather conditions that may make travel treacherous.
It is the driver’s responsibility to be aware of the contents of the vehicle contract that is signed when they pick up the vehicle.
Violations of these policies may result in the loss of vehicle privileges, Community Court or Student Conduct reporting and response and/or Human Resources
